↪ Dividing roles and jobs
↪ Share to-do lists
↪ Stress on deadlines & creative block, but most importantly, encourage each other!
2 - A group consisting of my team members (Audrey, Kalista, Rara & Chelsea) and the main cast (Cinta)
3 - A group consisting of my team members (Audrey, Kalista, Rara & Chelsea) and the side cast for day 2 (Agung, Bagus, Louis, Neils, Ryan, Darrel, Turah K)
4 - A group consisting of my team members (Audrey, Kalista, Rara & Chelsea) and side cast for day 3 (Haresha, Nathan, Neils, Turah K)
5 - A group consisting of my team members (Audrey, Kalista, Rara & Chelsea) and side cast for day 4 (Agung, Bagas, Ryan)
6 - A group for editing discussions & feedback (Consisting only my team members)
7 - A group for links & resources (Consisting only my team members, we were refrained to send any text besides links & resources that are related to our project)
8 - A group for final submission (Consisting only my team members, here we only shared the final outcome of our music video, digipak and social media)
We followed a standardised procedure for all groups to maintain professionalism and consistency, such as:
↪ Announce the cast members regarding the date, time, attire and cast needed days (maximum a day) before the shooting day
↪ We also never forget to show our appreciation towards our cast members for sparring their time to participate in the shooting process
↪ We took the advantage to use the voting feature to consider everyone's opinion & make sure they are responsive without having to send a message
↪ We remind them to keep all information confidential and not shared to other people until the project is finished
PROS | CONS |
Notifies everyone regarding an announcement to keep everyone informed | No drawbacks in the moment since everyone is responsive & collaborative which helped our overall project so much
|
Manage multiple groups easily |
Pin messages for quick access to important information |

5.) Pinterest
We utilised Pinterest to gather inspirations for clothing that would be used for the cast. We categorised them into different folders with similar concept or styles based on the specific day of filming. We then sent these to the cast (typically a day or a few days before the shoot) so they could get ready and prepare their outfits beforehand. Below is how our Pinterest board collaboration look like:
PROS | CONS |
Allows all members to save pins (collaborative) | Turns out we were unable to share them to the cast to view (needs edit access) hence we had to screenshot the page
|
Create folders for different shooting days |
Unlimited inspiration + the algorithm suggesting similar content |

6.) Icloud Shared Photo Library
Icloud Shared Photo Library allows to share photos and videos with up to 5 other people. We needed our main star, Cinta, to send some of videos of photos that may support our project (such as for social media posts, we also sent a brief on what to send to give her direction). In order to share content more effectively straight from the camera roll and to help us arrange images and vidoes in a more manageable collection, we chose Icloud Shared Photo Library rather than other apps (like WhatsApp, which may distort the quality).
Link to the shared library can be found here
PROS | CONS |
Since it can be shared only up to 5 people, it was fortunate that it fits all of us | We did not experience any drawbacks using this feature
|
High quality images/videos to be downloaded |
Easy access since all files are shared in one place |
Works for any device (even non-Apple users) |

7.) Physical Organisation
Besides using online techniques for organisation, I also used offline methods to do so. For instance, my teacher would write down tasks that needed to be completed by the due date on the class board so that everyone could see them and be reminded at all times (especially during class).
In terms of my own productivity, I used my book planner (calendar and daily to-do lists), which helps me prioritise tasks, manage my time, and maintain focus. I go into more detail about the explanation in my weekly progress blog post. Here are a few images of my planner pages.
PROS | CONS |
Helps me to become more productive, organised and focused to manage my time efficiently | I need to carry the physical book everywhere I go (so in case if I forgot to bring to school it won't benefit me) |
Allows me to track deadlines and prioritise which tasks that needed to be done first
| It can be difficult to update information if I make a mistake (I had to cross out or use a correction pen) |

Since I am an organised person who likes everything to be well-structured and in place, I always take advantage of these applications specifically to accomplish projects or tasks I have (not only in the media, individually or in groups), so this method helps me work more efficiently and keep everything on track in one place. Google Docs can be a useful tool for my teammates and me to share ideas on possible technical elements we would use and narrative ideas. With headings, we can quickly navigate to a certain category without having to scroll down, and the collaborative function lets us collaborate on a same document from many devices. Using a Google Spreadsheet allows me to keep track of the things I've completed and those I still need to perform in a clear and efficient manner. The use of Google Drive enables me to navigate more easily and avoid having to search through the files again thanks to the embedded links. It is simpler to upload, organise, and distinguish between all of the behind-the-scenes and raw footage. This helps me decide which shots will be included in the final cut for editing. Using WhatsApp reduces barriers to communication between me and my team and supports open discussion of any topic. It is also beneficial to inform any cast members regarding their roles and responsibilities. Utilising Pinterest is helpful to gather clothing inspirations into several shared folders that can be sent to the actors so they can get ready in advance and make sure the outfits match the scene on that particular day. Finally, using Icloud Shared Photo Library allows high quality photos and videos to be shared effectively since you can share content straight from camera roll. Along with online methods, I also used offline organising techniques, such as my calendar or to-do list in my book planner to stay on top of deadlines and arrange tasks that might interfere with other activities outside Media Studies class or school. I intend to continue utilising these methods in the future to efficiently arrange my files, but I also hoped to discover many more applications that would support as well.
